Online Training Participation Policy

  1. Purpose
    This Zoom / Online Participation Policy sets out the standards, responsibilities, and expectations for all clients, students, and participants attending online sessions, treatments, mentoring, workshops, meetings, classes, and training delivered by Mystic Wellness Ltd. via Zoom or any other approved digital platform. Its purpose is to ensure all online services are delivered in a safe, professional, confidential, respectful, and effective manner in accordance with relevant UK law and best practice.

Mystic Wellness Ltd is committed to providing reasonable adjustments for participants with disabilities or additional support needs in accordance with the Equality Act 2010. Requests for adjustments will be considered on a case-by-case basis to ensure fair and accessible participation.

Where multiple documents apply, they shall be interpreted together. In case of conflict, statutory law shall prevail over all internal policies.

In the event of any conflict between this policy and other company policies or agreements, the Terms and Conditions of Sale and Website Use shall take precedence.

  1. Scope
    Mystic Wellness Ltd does not provide training courses, practitioner training programmes, certification programmes, mentoring programmes, workshops, or educational services to individuals under the age of 18 unless expressly stated otherwise in writing.

This policy applies to all online services provided by Mystic Wellness Ltd., including but not limited to:
• online treatments and therapies;
• spiritual mentoring sessions;
• live online classes and workshops;
• accredited training sessions;
• group coaching and support sessions;
• webinars and online events;
• one-to-one consultations and assessments.

Where services are delivered by independent contractors, practitioners, or associates, they act in their own professional capacity and are responsible for maintaining their own professional standards, insurance, and compliance with applicable legal and ethical obligations, while also adhering to Mystic Wellness Ltd policies

By booking or attending an online session, participants agree to comply with this policy.

  1. Technology Requirements
    Participants are responsible for ensuring the security of their own devices, internet connections, passwords, and access credentials when accessing online services.

Participants are responsible for ensuring they have:
• a stable internet connection;
• a suitable device with camera and audio capability;
• access to the required platform (such as Zoom);
• updated software and internet browser settings;
• a working email address for joining instructions.

Online service availability is not guaranteed and may be subject to downtime, maintenance, or third-party platform limitations.

Mystic Wellness Ltd. cannot be held responsible for interruptions caused by participant equipment failure, poor internet connection, third-party software failure, or technical issues outside our reasonable control.

  1. Joining Instructions
    “Session links, passwords, recordings, and access credentials remain the property of Mystic Wellness Ltd and may be revoked, changed, restricted, or withdrawn at any time where reasonably necessary.

Session access details, links, passwords, and joining instructions will be provided before the scheduled session.

Participants are responsible for joining on time using the correct access details.

Meeting links are private and must not be shared with any third party without prior written permission.

Unauthorised sharing of access credentials may result in immediate removal from the session and suspension of future access.

  1. Punctuality
    Participants should join online sessions at least 5 minutes before the scheduled start time to allow for technical setup.

Late arrival may reduce available session time.

Where group sessions are involved, late entry may not be permitted once the session has begun.

  1. Appropriate Participation Environment
    Participants are responsible for ensuring they attend from a quiet, safe, respectful, and private environment free from unnecessary interruption wherever possible.

Participants should ensure they are appropriately dressed and positioned respectfully on camera where camera participation is required.

Mystic Wellness Ltd is committed to supporting accessibility and will make reasonable adjustments where practicable to accommodate participants with additional needs, disabilities, or accessibility requirements where these are communicated in advance.

Mystic Wellness Ltd. reserves the right to request cameras on during training, assessment, or interactive learning where necessary to support attendance verification, safeguarding, and accreditation compliance.

While reasonable adjustments will be considered, Mystic Wellness Ltd may not be able to accommodate adjustments where they would fundamentally alter the nature of the service, compromise safety, or create disproportionate operational burden

  1. Professional Conduct and Behaviour

All participants must behave respectfully and professionally at all times.

All participants are expected to uphold standards consistent with the Equality Act 2010.

Bullying, harassment, abusive language, inappropriate behaviour, disruption, discrimination, or intimidation will not be tolerated.

Mystic Wellness Ltd. reserves the right to remove any participant from an online session without refund where behaviour is considered inappropriate, unsafe, discriminatory, or disruptive.

Mystic Wellness Ltd reserves the right to refuse, suspend, or terminate access to any online session where necessary to protect safety, safeguarding, service integrity, or compliance with this policy.

Where services are delivered by self-employed practitioners, contractors, or associates, each practitioner is independently responsible for their professional conduct, regulatory compliance, and adherence to this policy when representing Mystic Wellness Ltd.

Nothing in this policy creates an employment relationship where none exists.

  1. Confidentiality and Privacy
    Participants must respect the privacy and confidentiality of all other attendees.

Information shared during online sessions, mentoring, training, or group work must not be discussed, shared, copied, or disclosed outside the session without explicit consent.

Participants are responsible for ensuring that unauthorised persons cannot overhear or observe confidential sessions where privacy is expected.

Participants must not permit unauthorised persons to observe, listen to, access, participate in, or view confidential online sessions without prior consent where confidentiality is expected.

Participants must not unlawfully collect, store, screenshot, or distribute another participant’s personal information.

Online sessions are delivered via third-party platforms (such as Zoom), which may process limited personal data (such as name, email, IP address, and device information) in accordance with their own privacy policies.

Mystic Wellness Ltd is not responsible for the data handling, security, or availability of third-party platforms used to deliver services, including but not limited to Zoom, except where required under UK GDPR for our own processing activities.

Personal data is processed in accordance with UK GDPR and the Data Protection Act 2018 as applicable to Mystic Wellness Ltd as a data controller.

  1. Recording Policy
    Participants may not record, photograph, screenshot, livestream, or otherwise capture any part of an online session without prior written permission from Mystic Wellness Ltd.

 Unauthorised recording constitutes a breach of confidentiality, privacy rights, and intellectual property rights and may result in immediate removal and legal action.

 Mystic Wellness Ltd. may record certain sessions for educational, training, safeguarding, quality assurance, or accreditation purposes. Participants will be notified where recording takes place.

All course materials, recordings, presentations, and digital content are protected under the Copyright, Designs and Patents Act 1988.

Access to recordings may be restricted, suspended, edited, anonymised, withdrawn, or removed where reasonably necessary for safeguarding, confidentiality, legal compliance, operational requirements, or intellectual property protection.

Any breach of this recording policy may also result in immediate removal from the session and referral to legal remedies where appropriate, including copyright enforcement.

  1. Online Safety and Safeguarding
    Mystic Wellness Ltd does not provide training, practitioner education, certification programmes, accredited learning services, or practitioner development programmes to individuals under the age of 18 years.

Participants must ensure their environment is physically safe and suitable for participation, particularly where movement, meditation, breathwork, sound healing, or practical activities are involved.

Where children or vulnerable adults participate, appropriate consent and safeguarding procedures must be followed in accordance with the Mystic Wellness Ltd. Safeguarding Policy and relevant UK safeguarding legislation.
Any safeguarding concerns or inappropriate behaviour must be reported immediately.

Safeguarding concerns will always take precedence over confidentiality where there is a risk of harm to a child or adult at risk.

Safeguarding concerns may be escalated to external agencies where required by law or where internal resolution is not appropriate.

  1. Health and Wellbeing Disclaimer

Participants are responsible for monitoring their own physical, emotional, and mental wellbeing during online participation.

If at any time a participant feels unwell, distressed, or unsafe, they should pause participation and seek appropriate support.

Services delivered by Mystic Wellness Ltd. are complementary wellness services and are not intended to diagnose, treat, cure, or prevent medical or psychological conditions, nor replace professional healthcare advice.

Nothing in this policy or our services constitutes medical advice, diagnosis, or treatment, and participation should not replace consultation with qualified healthcare professionals.

  1. Technical Interruptions (Force Majeure)
    If a technical issue occurs during a session, reasonable efforts will be made to reconnect and continue where possible.

Where disruption is caused by Mystic Wellness Ltd., alternative arrangements may be offered.
Where disruption is caused by the participant’s own technical setup, refunds or additional time cannot be guaranteed.

We do not guarantee uninterrupted, continuous, secure, or error-free operation of any online platform, software, recording system, communication system, or third-party service.

Mystic Wellness Ltd shall not be liable for failure or delay in performance due to events beyond our reasonable control, including but not limited to internet outages, platform failures, cyber incidents, natural disasters, acts of God, illness, strikes, or governmental restrictions or other force majeure events.

 

  1. Cancellations and Rescheduling
    Online sessions are subject to the Mystic Wellness Ltd. Cancellation and Refund Policy and applicable UK consumer legislation, including the Consumer Rights Act 2015 and Consumer Contracts Regulations 2013.

 Participants must provide required notice if they need to cancel or reschedule.

 Missed online sessions may be treated as missed appointments unless otherwise stated.

Nothing in this policy affects your statutory rights under UK consumer law, including the Consumer Rights Act 2015 and Consumer Contracts Regulations 2013.

  1. Intellectual Property
    All session content, presentations, slides, teachings, meditations, manuals, workbooks, recordings, and resources remain the exclusive intellectual property of Mystic Wellness Ltd. and may not be copied, reproduced, distributed, taught, sold, or shared without prior written permission.

Nothing in this Policy transfers ownership of any intellectual property rights, teaching methods, course materials, recordings, trademarks, branding, certifications, assessments, educational resources, or proprietary content to participants.

Unauthorised use may result in civil or legal action under applicable copyright law.

  1. Liability
    Participants remain responsible for ensuring that their participation environment is safe, suitable, and appropriate for the activities being undertaken.

Mystic Wellness Ltd. accepts no responsibility for injury, loss, damage, emotional distress, or technical disruption resulting from failure to follow instructions, unsuitable environments, participant negligence, or events outside our reasonable control.

Nothing in this policy excludes liability where exclusion is prohibited by UK law.

No delay or failure by Mystic Wellness Ltd to enforce any part of this policy shall constitute a waiver of rights.

Liability is limited to the maximum extent permitted by law, and nothing in this policy excludes liability for death or personal injury caused by negligence, fraud, or any other liability which cannot be excluded under UK law.

  1. Breach of Policy
    Failure to comply with this policy may result in removal from the session, suspension of future access, withholding of certification (where applicable), or further action as deemed appropriate by Mystic Wellness Ltd.

Serious breaches may result in permanent exclusion from future services, withholding of certification, legal action, reporting to relevant authorities, or recovery of losses where appropriate

 

  1. Policy Review
    This policy shall be interpreted in a reasonable and proportionate manner in line with its purpose of ensuring safe and lawful online service delivery.

Mystic Wellness Ltd. reserves the right to amend this policy at any time to reflect legal, operational, safeguarding, accreditation, or service delivery changes. Updated versions take effect upon publication.

Where changes are required by law, regulation, safeguarding obligations, accreditation requirements, or operational necessity, updated versions shall take effect upon publication unless otherwise stated.

    By booking, joining, or participating in any online session delivered by Mystic Wellness Ltd., you confirm that you have read, understood, and agree to comply with this Online Participation Policy.
