  1. Purpose

Mystic Wellness Ltd provides complementary holistic wellbeing services designed to support relaxation, emotional wellbeing, personal development, stress reduction, self-awareness, and general wellbeing.

This Therapy Session Policy sets out the nature, scope, limitations, safeguarding requirements, consent requirements, and participation conditions applicable to all therapy and wellbeing services provided by Mystic Wellness Ltd.

Services may be provided to adults, children (under 18 years of age), and vulnerable adults, subject to suitability assessments, safeguarding requirements, informed consent, professional judgement, and applicable legal obligations.

This Policy applies to all therapy and wellbeing services delivered by Mystic Wellness Ltd, including but not limited to:

  • Sound Baths
  • Sound Healing
  • Gong Baths
  • Meditation
  • Reiki
  • Mentoring
  • Online wellbeing sessions
  • In-person wellbeing sessions
  • Group wellbeing sessions
  • Workshops and related complementary wellbeing services

By booking, attending, participating in, or receiving any service, clients (or where applicable parents, legal guardians, carers, or authorised representatives) confirm that they have read, understood, and agreed to this Policy.

This Policy should be read alongside our Privacy Policy, Confidentiality Policy, Safeguarding Policy, Touch Consent Policy, Contraindications and Safety Policy, Complaints Procedure Policy, Cancellation and Refund Policy, and all other applicable policies.

  1. Definitions

For the purposes of this Policy:

  • Child / Children means any individual under the age of 18 years.
  • Vulnerable Adult means an adult who may require additional support, protection, safeguarding consideration, or assistance due to age, disability, illness, impairment, mental capacity concerns, dependency, or personal circumstances.
  • Parent or Legal Guardian means an individual who holds parental responsibility for a child.
  • Carer or Authorised Representative means an individual legally authorised or appropriately involved in supporting a vulnerable adult.
  • Capacity means an individual’s ability to understand, retain, weigh, and communicate information relevant to a decision in accordance with the Mental Capacity Act 200
  1. Nature of Services Provided

Mystic Wellness Ltd provides complementary holistic wellbeing services intended to support general wellbeing and personal development.

Services are delivered within the practitioner’s competence, professional scope of practice, safeguarding responsibilities, and insurance cover.

Services are non-invasive and may be delivered:

  • in person;
  • online;
  • individually;
  • in group settings; or
  • through blended delivery methods.

Services may be adapted where reasonably necessary to support accessibility, safety, safeguarding, client wellbeing, communication needs, or practical circumstances.

Services may be provided to adults, children, and vulnerable adults where appropriate and subject to the requirements set out within this Policy.

  1. Complementary Therapy Disclaimer

All services provided by Mystic Wellness Ltd are complementary wellbeing services only.

Services are intended to complement, not replace, medical care, healthcare treatment, counselling, psychotherapy, psychiatric support, social care intervention, safeguarding intervention, or any other regulated professional service.

Nothing provided by Mystic Wellness Ltd is intended to diagnose, treat, cure, prevent, or manage any medical condition, mental health condition, illness, injury, disease, disability, or healthcare concern.

Clients should always seek advice from an appropriately qualified healthcare professional where medical, psychological, psychiatric, or emergency support may be required.

  1. Not Medical, Mental Health or Emergency Treatment

Mystic Wellness Ltd does not provide:

  • medical diagnosis;
  • medical treatment;
  • counselling;
  • psychotherapy;
  • psychiatric services;
  • crisis intervention;
  • emergency healthcare services.

Practitioners are not acting as doctors, nurses, psychiatrists, psychologists, psychotherapists, counsellors, or other regulated healthcare professionals unless expressly stated in writing.

Clients experiencing physical illness, injury, severe mental distress, emotional crisis, suicidal thoughts, self-harm concerns, safeguarding concerns, or emergency situations should seek appropriate support from their GP, NHS services, emergency services, or another suitably qualified professional.

Where appropriate, practitioners may recommend referral to healthcare professionals, safeguarding agencies, social care services, emergency services, or other relevant support services.

  1. Scope of Practice and Professional Boundaries

All services are delivered within the practitioner’s professional competence, training, experience, safeguarding responsibilities, and insurance coverage.

Practitioners will:

  • work within professional boundaries;
  • maintain appropriate ethical standards;
  • respect client dignity and autonomy;
  • avoid conflicts of interest where reasonably possible;
  • comply with safeguarding responsibilities;
  • maintain confidentiality subject to legal and safeguarding obligations.

Practitioners may decline to provide services where doing so would exceed their competence, insurance cover, safeguarding obligations, or professional scope of practice.

Where a practitioner believes that a client’s needs would be better served by another professional, healthcare provider, safeguarding agency, social care service, or specialist organisation, Mystic Wellness Ltd may recommend referral to an appropriate service.

Practitioners will not knowingly enter into inappropriate personal, financial, exploitative, or dual relationships that could impair professional judgement, compromise safeguarding, or create conflicts of interest.

  1. Children (Under 18 Years) and Vulnerable Adults

Mystic Wellness Ltd recognises that children and vulnerable adults may require additional safeguarding, supervision, support, and protection.

Services may be provided to children and vulnerable adults only where participation is considered appropriate, safe, and in the individual’s best interests.

For children under 18 years:

  • prior written informed consent must be obtained from a parent or legal guardian;
  • parental responsibility may be verified where reasonably required;
  • a parent or legal guardian may be required to remain present throughout the session;
  • participation must be considered suitable for the child’s age, needs, understanding, and wellbeing;
  • safeguarding considerations will take priority at all times.

For vulnerable adults:

  • services may be adapted to meet communication, accessibility, capacity, or support needs;
  • carers, family members, advocates, attorneys, deputies, or authorised representatives may be involved where appropriate;
  • practitioners will have regard to the principles of the Mental Capacity Act 2005;
  • additional safeguarding measures may be implemented where necessary.

Mystic Wellness Ltd reserves the right to request proof of parental responsibility, guardianship, authority to act, or other supporting documentation where reasonably necessary before providing services to a child or vulnerable adult.

The decision to follow any referral recommendation remains the responsibility of the client, parent, legal guardian, carer, or authorised representative unless immediate safeguarding or emergency intervention is required.

Where a child or vulnerable adult expresses a wish not to participate, Mystic Wellness Ltd reserves the right to refuse, postpone, modify, or terminate the service where continuing participation would not be considered appropriate, safe, or in the individual’s best interests.

Mystic Wellness Ltd reserves the right to refuse, modify, postpone, suspend, or terminate services where safeguarding concerns arise or participation is not considered appropriate.

  1. Client Responsibility and Health Disclosure

Clients are responsible for providing accurate, complete, and up-to-date information relevant to their participation in any service provided by Mystic Wellness Ltd.

Before attending a session, clients must disclose any information that may affect their suitability, safety, wellbeing, or participation, including but not limited to:

  • medical conditions;
  • physical injuries or disabilities;
  • mental health conditions;
  • pregnancy;
  • medications;
  • allergies or sensitivities;
  • epilepsy or seizure disorders;
  • hearing conditions;
  • implants, pacemakers, or other medical devices;
  • safeguarding concerns;
  • any condition that may affect participation.

Where services are provided to children or vulnerable adults, parents, legal guardians, carers, or authorised representatives must provide any relevant information where appropriate.

Clients are responsible for ensuring that information provided remains accurate and must notify Mystic Wellness Ltd of any significant change in health, medication, capacity, safeguarding circumstances, or support requirements before future sessions.

Clients agree to notify the practitioner immediately if circumstances change or if they experience discomfort, distress, adverse effects, or wish to stop participation at any time.

Failure to disclose relevant information may result in refusal, modification, suspension, or termination of services where safety, wellbeing, or safeguarding may be affected.

  1. Contraindications, Safety and Referrals

Certain therapies or wellbeing activities may not be suitable for all individuals.

Participation may be restricted, adapted, postponed, or declined where a contraindication, health concern, safeguarding issue, or other risk factor is identified.

Where appropriate, Mystic Wellness Ltd may recommend that a client seeks advice from a suitably qualified healthcare professional before participating.

Practitioners may also recommend referral to:

  • a GP or healthcare professional;
  • mental health services;
  • safeguarding authorities;
  • social care services;
  • emergency services; or
  • other appropriate professional support services.

Clients acknowledge that participation remains their responsibility and that recommendations to seek professional advice should be followed where appropriate.

  1. Consent and Participation

Participation in all services is voluntary.

By attending a session, clients confirm that they understand the nature of the service being provided and voluntarily agree to participate.

Where services are provided to children under 18 years of age, participation requires prior consent from a parent or legal guardian.

Where services involve vulnerable adults, additional consent, support, capacity considerations, or representative involvement may be required.

Mystic Wellness Ltd reserves the right to obtain written consent where considered necessary for safeguarding, legal, insurance, professional, or operational reasons.

Consent is an ongoing process and may be reviewed, reaffirmed, restricted, withdrawn, or updated at any stage of the therapeutic relationship.

Clients may withdraw consent and discontinue participation at any time.

Consent records may be retained in accordance with legal, safeguarding, insurance, and data protection requirements.

  1. Online Sessions

Mystic Wellness Ltd may provide services through online platforms, video conferencing systems, telephone communication, or other digital methods.

Clients are responsible for ensuring that they have:

  • a suitable internet connection;
  • appropriate technology and equipment;
  • a safe and private environment;
  • any required accessibility arrangements.

Where services are provided online to children under 18 years of age, or a venerable adult a parent or legal guardian may be required to remain present throughout the session.

Where services are provided online to vulnerable adults, carers, representatives, or support persons may be required to participate where appropriate.

Although reasonable measures are taken to protect privacy and confidentiality, clients acknowledge that online communications may involve risks beyond the direct control of Mystic Wellness Ltd, including technical failures, connectivity issues, cybersecurity incidents, or third-party platform interruptions.

Online sessions should be attended from a private, safe, and suitable environment free from unnecessary interruptions wherever reasonably possible.

Sessions must not be recorded, copied, streamed, shared, or distributed without the prior written consent of Mystic Wellness Ltd and all participants where applicable.

Mystic Wellness Ltd reserves the right to terminate or reschedule an online session where privacy, safeguarding, safety, or welfare concerns arise.

Online sessions may be paused, rescheduled, adapted, or terminated where technical difficulties, safeguarding concerns, safety issues, or inappropriate conduct arise.

  1. Touch-Based and Hands-On Therapies

Where a therapy involves physical contact, touch will only occur where appropriate, necessary for the service being provided, and consent has been obtained.

Touch will always be respectful, professional, appropriate, and consistent with safeguarding requirements, professional boundaries, and practitioner training.

Clients may withdraw consent to touch at any time.

Clients may request that touch be modified, limited, paused, or discontinued at any time without prejudice to future services.

For children under 18 years of age:

  • written parental or legal guardian consent must be obtained before any touch-based therapy is provided;
  • a parent or legal guardian must remain present throughout the entire session;
  • touch must be age-appropriate, necessary, and explained before it occurs.

For vulnerable adults:

  • consent requirements, communication needs, and capacity considerations will be respected at all times;
  • additional safeguards may be implemented where appropriate.

Touch-based services will not be provided where consent is absent, unclear, withdrawn, or where safeguarding concerns exist.

  1. Confidentiality and Data Protection

Mystic Wellness Ltd is committed to protecting client privacy and handling personal information responsibly, securely, and lawfully.

Personal data, health information, consent records, safeguarding records, session notes, correspondence, and related information will be processed in accordance with:

  • UK General Data Protection Regulation (UK GDPR);
  • Data Protection Act 2018; and
  • any other applicable data protection legislation.

Information provided by clients will normally be treated as confidential and will only be accessed by individuals who reasonably require the information for service delivery, safeguarding, legal compliance, administration, insurance, or professional purposes.

Confidential information may be disclosed where:

  • the client has provided consent;
  • disclosure is required by law;
  • disclosure is required by a court order;
  • there is a safeguarding concern;
  • there is a risk of serious harm to the client or another person;
  • disclosure is necessary to protect a child or vulnerable adult;
  • disclosure is otherwise legally permitted or required.

Where services involve children or vulnerable adults, safeguarding obligations may override normal confidentiality requirements where necessary to protect safety, welfare, or wellbeing.

Only information reasonably necessary for service delivery, safeguarding, legal compliance, insurance, administration, or professional obligations will be collected and processed.

Client records, safeguarding records, consent records, and session notes may be retained for such periods as are reasonably necessary to meet legal, insurance, safeguarding, regulatory, professional, operational obligations and in accordance with the Privacy Policy.

  1. Photography, Video Recording and Marketing Consent

Mystic Wellness Ltd respects the privacy, dignity, and rights of all clients.

Photographs, video recordings, audio recordings, testimonials, case studies, or other media will not be used for marketing, advertising, promotional, educational, social media, website, or business purposes without appropriate consent.

Refusal to provide media consent will not affect a person’s ability to access services.

For adults:

  • consent must be freely given, informed, specific, and capable of being withdrawn;
  • consent may be requested separately from other service agreements;
  • refusal to provide consent will not affect access to services.

For children under 18 years of age:

  • prior written consent must be obtained from a parent or legal guardian;
  • parental responsibility may be verified where reasonably required;
  • safeguarding considerations will be assessed before any use;
  • content will not be used where it may compromise the child’s privacy, dignity, safety, or wellbeing.

For vulnerable adults:

  • consent must be obtained from the individual where they have capacity to provide consent;
  • where appropriate, authorised representatives, carers, attorneys, deputies, or legal representatives may be involved;
  • additional safeguarding considerations may apply.

Consent may be withdrawn at any time, although materials already lawfully published before withdrawal may not always be capable of immediate removal.

Mystic Wellness Ltd reserves the right to refuse photography, recording, or media activity during any session where privacy, confidentiality, safeguarding, safety, wellbeing, or professional considerations require such restrictions.

  1. Health and Safety

Mystic Wellness Ltd is committed to maintaining a safe environment for all participants and visitors.

Services will be delivered in accordance with applicable health and safety obligations, risk assessment requirements, safeguarding responsibilities, and professional standards.

Clients must:

  • follow reasonable instructions;
  • behave in a safe and respectful manner;
  • notify the practitioner of any concerns affecting safety;
  • stop participation if advised to do so by the practitioner.

Additional supervision, support arrangements, accessibility measures, safeguarding controls, or risk assessments may be implemented where services involve children or vulnerable adults.

The practitioner may pause, modify, postpone, or terminate participation where safety concerns arise.

Clients must immediately report any accident, injury, incident, adverse reaction, safeguarding concern, or welfare concern arising during participation.

  1. Equality, Dignity and Respect

Mystic Wellness Ltd is committed to promoting equality, diversity, inclusion, dignity, and respect.

Services will be provided in accordance with the Equality Act 2010 and without unlawful discrimination.

All individuals will be treated fairly and respectfully regardless of:

  • age;
  • disability;
  • race;
  • ethnicity;
  • religion or belief;
  • sex;
  • sexual orientation;
  • gender reassignment;
  • pregnancy or maternity status;
  • marital or civil partnership status; or
  • any other protected characteristic.

Bullying, harassment, abuse, discrimination, intimidation, threatening behaviour, hate-related conduct, or inappropriate behaviour will not be tolerated.

Mystic Wellness Ltd reserves the right to refuse or terminate services where behaviour compromises safety, wellbeing, dignity, safeguarding, or professional standards.

  1. Safeguarding

Mystic Wellness Ltd is committed to safeguarding and promoting the welfare of children and vulnerable adults.

Safeguarding practices are informed by:

  • Children Act 1989;
  • Children Act 2004;
  • Care Act 2014;
  • Mental Capacity Act 2005;
  • Working Together to Safeguard Children (current guidance);
  • UK GDPR;
  • Data Protection Act 2018; and
  • other applicable safeguarding legislation and guidance.

The safety, welfare, dignity, rights, and best interests of children and vulnerable adults will take priority at all times.

Where services are provided to children:

  • parental or legal guardian consent must normally be obtained;
  • parental or guardian involvement may be required throughout participation;
  • additional safeguarding controls may be implemented where appropriate.

Where services are provided to vulnerable adults:

  • capacity, communication, accessibility, support needs, and wellbeing will be considered;
  • carers, advocates, attorneys, deputies, healthcare professionals, or authorised representatives may be involved where appropriate.

Where concerns arise regarding:

  • abuse;
  • neglect;
  • exploitation;
  • coercion;
  • grooming;
  • self-harm;
  • suicidal ideation;
  • serious criminal activity;
  • lack of capacity;
  • risk of harm; or
  • immediate danger,

Mystic Wellness Ltd may share information with appropriate authorities, including:

  • Social Services;
  • Adult Social Care;
  • Local Authority safeguarding teams;
  • Police;
  • NHS services;
  • healthcare professionals;
  • emergency services; or
  • other relevant agencies.

All safeguarding concerns will be assessed on a case-by-case basis and handled proportionately, taking account of the individual’s age, capacity, vulnerability, welfare, level of risk, and legal rights.

Safeguarding obligations may override confidentiality where necessary to protect a person from harm.

Where safeguarding concerns arise, the best interests, safety, welfare, and protection of the child or vulnerable adult will take priority over service delivery, confidentiality expectations, complaint processes, or continued participation.

Where legally justified or required, safeguarding referrals may be made without the consent of the individual, parent, legal guardian, carer, or representative where there is a risk of harm, abuse, neglect, exploitation, or serious welfare concern.

Mystic Wellness Ltd reserves the right to take immediate safeguarding action where reasonably necessary to protect the safety, welfare, or best interests of any person.

  1. Emergency Situations and Crisis Support

Where reasonably practicable, Mystic Wellness Ltd may request emergency contact details and may use those details where necessary to protect the health, safety, welfare, or life of an individual.

Mystic Wellness Ltd does not provide emergency services, crisis intervention, emergency healthcare, or urgent mental health support.

Clients experiencing:

  • medical emergencies;
  • suicidal thoughts;
  • self-harm concerns;
  • severe mental distress;
  • serious safeguarding concerns;
  • immediate risk of harm; or
  • any urgent crisis situation,

Should immediately contact emergency services, NHS services, their GP, mental health crisis services, or another appropriate emergency support provider.

Mystic Wellness Ltd may contact an emergency contact, healthcare professional, emergency service, safeguarding authority, or relevant agency where reasonably necessary to protect the health, safety, welfare, or life of an individual.

Where a practitioner reasonably believes there is an immediate risk of serious harm to a client or another person, emergency services or relevant authorities may be contacted without prior consent where legally justified or required.

Participation in complementary wellbeing services must not be relied upon as a substitute for emergency, safeguarding, medical, psychiatric, psychological, or crisis support services.

  1. Bookings, Cancellations and Refunds

All bookings, cancellations, rescheduling requests, transfers, and refunds are governed by Mystic Wellness Ltd.’s Cancellation and Refund Policy.

Clients are responsible for reviewing the Cancellation and Refund Policy before booking any service.

Where services are booked online, clients may have statutory rights under:

  • Consumer Rights Act 2015;
  • Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013; and
  • other applicable consumer protection legislation.

Nothing within this Policy removes or limits any statutory rights that cannot lawfully be excluded.

Where a session is cancelled, modified, suspended, or terminated due to safety concerns, safeguarding concerns, inaccurate information provided by the client, misconduct, or circumstances beyond the reasonable control of Mystic Wellness Ltd, any refund entitlement will be determined in accordance with applicable law and the Cancellation and Refund Policy.

  1. Right to Refuse, Modify or End a Session

Mystic Wellness Ltd reserves the right to refuse, postpone, suspend, modify, or terminate participation in any service where reasonably necessary.

Mystic Wellness Ltd may refuse participation where a client, parent, legal guardian, carer, or representative provides information that is false, misleading, incomplete, or materially inaccurate.

Mystic Wellness Ltd reserves the right to refuse services that fall outside the practitioner’s competence, training, experience, insurance cover, safeguarding responsibilities, or professional scope of practice.

This may include situations where:

  • relevant health information has not been disclosed;
  • a contraindication presents a safety concern;
  • participation is considered unsuitable;
  • safeguarding concerns arise;
  • a child or vulnerable adult’s best interests may be affected;
  • required parental, guardian, carer, or representative arrangements are not in place;
  • the client is under the influence of alcohol or non-prescribed substances;
  • behaviour is abusive, threatening, discriminatory, disruptive, inappropriate, or unsafe;
  • the service falls outside practitioner competence or insurance cover;
  • legal or regulatory obligations require action;
  • continuation may create a risk to any person.

Where reasonably possible, alternative arrangements may be considered.

Decisions made under this section will be reasonable, proportionate, and based upon safety, safeguarding, wellbeing, legal compliance, professional obligations, and duty of care.

The safety and welfare of children and vulnerable adults will always take priority over continuation of a session.

  1. Limitation of Liability

Mystic Wellness Ltd will exercise reasonable care, skill, and professionalism in the delivery of services.

To the fullest extent permitted by law, Mystic Wellness Ltd shall not be liable for:

  • indirect losses;
  • consequential losses;
  • loss of earnings;
  • loss of business opportunities;
  • loss of reputation;
  • emotional disappointment arising from unmet expectations;
  • outcomes beyond the reasonable control of Mystic Wellness Ltd.

Clients acknowledge that participation in complementary wellbeing services is voluntary and that outcomes vary between individuals.

Clients remain responsible for decisions made regarding their own healthcare, treatment, medication, and professional advice obtained from third parties.

Nothing within this Policy excludes or limits liability where exclusion would be unlawful, including liability for:

  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation; or
  • any other liability that cannot lawfully be excluded under UK law.
  1. Professional Memberships and Independent Complaints Review

Where services are delivered under professional accreditation, registration, certification, or membership schemes, clients may be entitled to seek an independent review of a complaint through the relevant professional body.

This may include, for example, the International Practitioners of Holistic Medicine (IPHM) or any other relevant accrediting, professional, or membership organisation applicable to the practitioner or service.

Any such review process operates independently of Mystic Wellness Ltd and does not replace a client’s legal rights.

Participation in any alternative dispute resolution process, professional review process, or accreditation body complaints procedure does not affect a client’s statutory rights or right to bring proceedings before a court of competent jurisdiction.

  1. Governing Law and Jurisdiction

This Policy and any dispute arising from it shall be governed by and interpreted in accordance with the laws of England and Wales.

Nothing in this Policy affects any mandatory statutory rights available to consumers under applicable law.

Subject to those rights, the courts of England and Wales shall have exclusive jurisdiction in relation to any dispute, claim, or matter arising from or connected with this Policy or the services provided by Mystic Wellness Ltd.

  1. Policy Updates

Mystic Wellness Ltd reserves the right to amend, update, replace, or revise this Policy from time to time where reasonably necessary.

Changes may be made to reflect:

  • legal requirements;
  • regulatory developments;
  • safeguarding obligations;
  • professional standards;
  • operational requirements;
  • service developments; or
  • business needs.

The most current version will be made available through appropriate channels and will display the latest revision date.

Continued participation in services following publication of an updated version may constitute acceptance of the revised Policy where legally permitted.

  1. Acknowledgement and Consent

Clients acknowledge that complementary wellbeing services should not be relied upon as a substitute for professional medical, psychological, psychiatric, safeguarding, legal, social care, or emergency support services.

Clients acknowledge that safeguarding responsibilities may require Mystic Wellness Ltd to take action that differs from a client’s wishes where protection of a child, vulnerable adult, or other person is reasonably considered necessary.

By booking, attending, participating in, or receiving any service provided by Mystic Wellness Ltd, clients acknowledge and confirm that they:

  • have read and understood this Policy;
  • understand that services are complementary wellbeing services only;
  • understand that services are not medical, psychological, psychiatric, counselling, or emergency treatment;
  • understand that specific outcomes cannot be guaranteed;
  • accept responsibility for providing accurate and relevant information;
  • understand their right to withdraw consent and discontinue participation at any time;
  • agree to comply with reasonable safety and participation requirements;
  • understand that safeguarding obligations may override confidentiality in certain circumstances;
  • understand that participation is voluntary and undertaken at their own discretion.

Where services are provided to children under 18 years of age:

  • the parent or legal guardian confirms that they have authority to provide consent;
  • safeguarding requirements have been explained and accepted; and
  • they agree to comply with any supervision or participation requirements imposed by Mystic Wellness Ltd.

Where services are provided to vulnerable adults:

  • the individual, carer, representative, attorney, deputy, or authorised decision-maker confirms that participation is appropriate;
  • any relevant support arrangements have been disclosed; and
  • safeguarding, capacity, and best-interest considerations have been understood and accepted.

This Policy should be read alongside:
