Practitioners Professional Conduct Policy

- Purpose
This Professional Conduct Policy sets out the standards of behaviour, ethics, and professional practice expected of all practitioners working under or representing Mystic Wellness Ltd., whether delivering services in person, online, at external venues, during retreats, or through accredited training programmes.
Its purpose is to ensure a safe, respectful, professional, and consistent environment for clients, students, staff, contractors, and visitors, while supporting compliance with relevant UK laws, professional standards, and accreditation requirements.
Mystic Wellness Ltd does not provide practitioner training, certification programmes, accredited training courses, practitioner development programmes, mentoring programmes, workshops, or educational courses to individuals under the age of 18 unless expressly stated otherwise in writing and supported by appropriate safeguarding arrangements.
Where practitioners provide therapeutic services to children or vulnerable adults as clients, they must comply with all safeguarding requirements, consent procedures, supervision requirements, and safeguarding policies of Mystic Wellness Ltd.
- Professional Standards
Practitioners must always behave in a professional, respectful, and courteous manner toward clients, students, colleagues, and members of the public.
Personal beliefs, opinions, or values must never interfere with the care, comfort, dignity, wellbeing, or treatment of any client or student.
Practitioners must take reasonable steps to safeguard children, young people, and vulnerable adults and must comply with the Mystic Wellness Ltd Safeguarding Policy at all times.
Practitioners must immediately report safeguarding concerns, disclosures, allegations, or suspected abuse in accordance with safeguarding procedures and applicable UK law.
Practitioners must maintain appropriate professional boundaries with children and vulnerable adults and must not engage in conduct that could reasonably be perceived as exploitative, inappropriate, coercive, or harmful.
Practitioners must maintain appropriate professional boundaries at all times and must not enter into relationships or arrangements that may create a conflict of interest or compromise professional judgement.
Practitioners must maintain appropriate professional insurance, registrations, memberships, licences, certifications, and continuing professional development (CPD) requirements relevant to the services they provide.
Practitioners must not knowingly provide services outside their competence, qualifications, insurance cover, or scope of practice.
Practitioners must work only within the limits of their training, qualifications, insurance cover, and professional competence, referring clients to appropriate professionals where required.
Practitioners must not make misleading claims, medical diagnoses, or promises of guaranteed outcomes.
All individuals must be treated fairly and without discrimination in accordance with the principles of the Equality Act 2010.
- Punctuality and Reliability
Sessions, appointments, classes, and training sessions must begin and end on time unless otherwise agreed with the client or student.
Practitioners must provide adequate notice where they are unable to attend work, appointments, or scheduled teaching commitments.
Last-minute cancellations should occur only in cases of genuine illness, emergency, or unavoidable circumstances.
Repeated lateness, cancellations, or failure to fulfil professional commitments may result in disciplinary review or termination of engagement with Mystic Wellness Ltd..
- Hygiene and Presentation
Hands must be washed or sanitised before and after each treatment or client interaction where appropriate.
Clean, professional, and appropriate attire must be worn at all times; long hair should be secured where necessary.
Nails must be kept short, clean, and well maintained. Minimal jewellery should be worn during treatments where it may affect hygiene or client safety.
Practitioners must maintain a clean, tidy, and professional appearance suitable to the nature of holistic wellness practice.
Treatment rooms, training areas, and shared spaces must be clean, organised, and prepared before each client or group session.
All hygiene practices must align with applicable public health guidance and local authority requirements.
- Client Care
A full and updated consultation or intake process must be completed before providing any treatment, therapy, mentoring session, or relevant training activity.
Clients must be informed clearly of any risks, contraindications, limitations, expected outcomes, and aftercare requirements prior to treatment or participation.
Where a client lacks capacity to provide informed consent, services must not proceed unless lawful authority, safeguarding requirements, and applicable legal obligations have been satisfied.
Practitioners must listen respectfully to client needs and adapt treatments where professionally appropriate and safe to do so.
Clients must always be treated with dignity, sensitivity, and compassion, particularly where emotional, spiritual, or vulnerable circumstances arise.
Where services are provided to children (under 18) or vulnerable adults, practitioners must ensure that all required consent, safeguarding, supervision, and participation requirements have been satisfied before services commence.
Practitioners retain the right to refuse, suspend, modify, or terminate services where safeguarding concerns, capacity concerns, consent concerns, or risks to wellbeing are identified.
Where appropriate, practitioners may require the presence of a parent, legal guardian, carer, support worker, or other responsible adult throughout the session
Appropriate aftercare advice and recommendations must be provided where relevant.
- Fitness to Practise and Safeguarding Responsibilities
Practitioners are responsible for ensuring that they remain physically, mentally, emotionally, professionally, and ethically fit to practise safely at all times.
Practitioners must maintain appropriate standards of health, conduct, competence, judgement, behaviour, professional integrity, and professional performance necessary to provide safe and effective services.
Where a practitioner’s health, wellbeing, conduct, competence, behaviour, criminal history, professional standing, safeguarding status, insurance status, qualifications, or personal circumstances may affect their ability to practise safely, effectively, or professionally, they must inform Mystic Wellness Ltd as soon as reasonably practicable.
Mystic Wellness Ltd reserves the right to restrict, supervise, review, suspend, or terminate a practitioner’s engagement, duties, responsibilities, or access to services where concerns arise regarding fitness to practise, safeguarding, competence, professional conduct, client safety, or organisational risk.
Mystic Wellness Ltd may provide certain complementary therapy, holistic wellbeing, mentoring, educational, training, or support services to children and adults at risk only where permitted by applicable law, safeguarding requirements, practitioner competence, insurance cover, professional standards, and organisational policies.
Practitioners must comply with all safeguarding procedures, risk assessments, supervision requirements, consent requirements, reporting obligations, and professional responsibilities relating to children, young people, and adults at risk.
Practitioners must not provide services to a child or adult at risk unless all required safeguarding measures, supervision arrangements, legal requirements, consent requirements, and organisational procedures have been fully satisfied.
Any safeguarding concern, disclosure, allegation, suspicion, incident, or risk relating to abuse, neglect, exploitation, coercion, grooming, self-harm, harm to others, radicalisation, domestic abuse, modern slavery, criminal exploitation, sexual exploitation, or any risk of significant harm must be reported immediately in accordance with the Mystic Wellness Ltd Safeguarding Policy.
Practitioners must immediately disclose to Mystic Wellness Ltd any suspension, restriction, investigation, removal, disciplinary finding, safeguarding finding, insurance restriction, or professional sanction that may affect their suitability to practise.
Confidentiality may be overridden where necessary to protect a child, young person, adult at risk, practitioner, or any other person from harm, or where disclosure is required by law, safeguarding obligations, regulatory requirements, court order, or lawful authority.
Practitioners must maintain appropriate professional boundaries at all times and must never engage in behaviour that could place a child, young person, adult at risk, client, student, colleague, or member of the public at risk of harm, abuse, exploitation, coercion, manipulation, neglect, discrimination, harassment, victimisation, grooming, undue influence, or inappropriate dependency.
Practitioners must comply with all applicable safeguarding legislation and guidance, including but not limited to the Children Act 1989, Children Act 2004, Safeguarding Vulnerable Groups Act 2006, Care Act 2014, Working Together to Safeguard Children guidance, and any subsequent amendments, replacements, or related legislation applicable within the United Kingdom.
Failure to comply with safeguarding responsibilities or fitness to practise requirements may result in disciplinary action, supervision, suspension, termination of engagement, referral to relevant authorities, professional bodies, insurers, safeguarding agencies, law enforcement agencies, or any other action considered necessary to protect individuals, the public, or the integrity of Mystic Wellness Ltd.
- Confidentiality and Records
Client and student records must be accurate, factual, up to date, and stored securely in accordance with the UK General Data Protection Regulation and Data Protection Act 2018.
All personal and sensitive information must be treated as confidential and must not be disclosed without valid consent unless required by law, safeguarding obligations, insurance requirements, or legal duty.
Conversations and disclosures made during treatments, mentoring, training, or consultations must be respected and kept private.
Practitioners must ensure digital records, emails, and online systems are password protected and securely managed.
Records must be retained, archived, and securely destroyed in accordance with Mystic Wellness Ltd data retention procedures and applicable legal requirements.
Practitioners must immediately report any actual or suspected data breach, confidentiality breach, cyber incident, or unauthorised disclosure of information.
Confidentiality may be overridden where disclosure is reasonably necessary to protect a child, vulnerable adult, practitioner, or another person from risk of harm, or where disclosure is otherwise required by law.
- Health and Safety
Practitioners must assess the suitability of services for each client and must not provide services where contraindications, safeguarding concerns, lack of informed consent, or other safety concerns make participation inappropriate.
All equipment, treatment tools, mats, instruments, and therapy materials must be cleaned, maintained, and sanitised regularly and appropriately.
Products must be used, handled, and stored in accordance with manufacturer guidance and safety instructions.
Practitioners must comply with all applicable health and safety obligations under the Health and Safety at Work etc. Act 1974 and related regulations where applicable.
Accidents, incidents, injuries, or near misses must be reported promptly and recorded in accordance with Mystic Wellness Ltd. procedures.
Risk assessments must be completed where appropriate, especially for events, workshops, retreats, and external venues.
Practitioners must not work while impaired by illness, alcohol, drugs, fatigue, or any condition that could compromise client safety or professional judgement.
Practitioners must cooperate with risk assessments, safeguarding reviews, incident investigations, and compliance audits conducted by Mystic Wellness Ltd.
Practitioners must immediately cease any activity that presents a significant risk to health, safety, safeguarding, or wellbeing.
- Safeguarding and Protection of Children and Vulnerable Adults
Mystic Wellness Ltd is committed to safeguarding and promoting the welfare of children, young people, and vulnerable adults.
Practitioners must comply with all safeguarding legislation, guidance, internal safeguarding procedures, and professional responsibilities applicable to their role.
Practitioners must immediately report safeguarding concerns, allegations, disclosures, or suspicions of abuse, neglect, exploitation, self-harm, or risk of harm through appropriate safeguarding channels.
Practitioners must cooperate with safeguarding investigations, referrals, and requests from relevant authorities where required.
The welfare and safety of children and vulnerable adults shall always take precedence over issues of confidentiality where there is a risk of significant harm.
Where required, safeguarding concerns may be referred to social services, safeguarding authorities, healthcare professionals, police, or other appropriate agencies.
- Business and Integrity
Fees, treatment descriptions, training details, policies, and cancellation terms must be communicated clearly and honestly to clients and students before booking or payment.
Treatments, therapies, qualifications, and accreditations must never be misrepresented.
Practitioners must not offer guarantees of healing, recovery, cure, symptom resolution, spiritual outcomes, business success, personal transformation, or any specific result from services provided.
Practitioners must not falsely promise outcomes or exaggerate likely benefits of any service.
Practitioners must not use their professional position for personal, financial, emotional, or spiritual advantage.
Practitioners must not exploit clients, students, vulnerable adults, or service users financially, emotionally, psychologically, spiritually, sexually, or otherwise.
Practitioners must not enter into financial arrangements, borrowing arrangements, or inappropriate personal relationships that could impair professional judgement or create a safeguarding risk.
Practitioners must comply with the Consumer Protection from Unfair Trading Regulations 2008 and must not engage in misleading actions, omissions, aggressive practices, or false advertising.
Practitioners must not make medical claims, healthcare claims, or therapeutic claims that cannot be substantiated by appropriate evidence, qualifications, or regulatory permissions.
Any gifts, financial arrangements, or conflicts of interest must be handled transparently and ethically.
All marketing, advertising, and public communications must be truthful and compliant with applicable UK advertising standards.
- Online Practice and Digital Conduct
Where services are provided online, practitioners must maintain the same professional standards as for in-person services.
Appropriate privacy must be maintained during online sessions, including the use of secure platforms and confidential environments wherever possible.
Practitioners must communicate respectfully in all emails, messaging platforms, social media interactions, and digital learning environments.
Practitioners must take reasonable steps to ensure online sessions are conducted in secure, private, and appropriate environments.
Unauthorised recording, copying, downloading, or distribution of online sessions, client information, training materials, or digital content is prohibited.
Practitioners delivering therapeutic online services to children or vulnerable adults must follow all safeguarding, consent, supervision, and privacy requirements applicable to remote service delivery.
Practitioners delivering online services must take reasonable steps to verify participant identity, eligibility, consent, and safeguarding requirements where appropriate.
Professional boundaries apply equally online and offline.
- Social Media Conduct
Practitioners must use social media responsibly and must not publish content that could reasonably damage the reputation of Mystic Wellness Ltd, compromise client confidentiality, breach safeguarding requirements, or bring the profession into disrepute.
Personal opinions expressed online must not be presented as official views of Mystic Wellness Ltd unless authorised.
- Criminal Conduct
Practitioners must notify Mystic Wellness Ltd as soon as reasonably practicable of any criminal investigation, criminal charge, conviction, caution, prohibition, professional sanction, or regulatory action that may affect their suitability to provide services.
- Substance Misuse
Practitioners must not provide services while affected by alcohol, illegal drugs, misuse of prescription medication, or any physical or psychological condition that may impair judgement, competence, safety, or professional performance.
- Duty of Candour
Practitioners must act openly, honestly, and transparently where mistakes, incidents, complaints, safeguarding concerns, or service failures occur and must take reasonable steps to rectify issues and minimise harm.
- Gifts and Personal Relationships
Practitioners must not accept gifts, benefits, financial incentives, loans, or personal arrangements that could compromise professional judgement or create a conflict of interest.
Practitioners must avoid dual relationships that could impair professional objectivity or create a risk of exploitation, dependency, favouritism, or harm.
- Equality, Diversity and Inclusion
Mystic Wellness Ltd is committed to providing an inclusive, respectful, and non-discriminatory environment for clients, students, practitioners, staff, contractors, and visitors.
Practitioners must promote equality, dignity, diversity, inclusion, and respect in accordance with the Equality Act 2010.
Discrimination, harassment, victimisation, bullying, hate speech, or unlawful unequal treatment will not be tolerated and may result in disciplinary action or termination of engagement.
- Breaches of Policy
Failure to comply with this Professional Conduct Policy may result in investigation and appropriate action, which may include additional training, supervision, suspension, or termination of the practitioner’s relationship with Mystic Wellness Ltd..
Serious misconduct, unlawful behaviour, breaches of confidentiality, safeguarding concerns, or actions placing others at risk may result in immediate suspension, restriction, or removal from practice pending investigation and review.
Safeguarding breaches involving children or vulnerable adults may result in immediate suspension, termination of engagement, referral to regulatory bodies, referral to safeguarding authorities, or legal action where appropriate.
Where appropriate, Mystic Wellness Ltd may report serious misconduct to insurers, professional bodies, accrediting organisations, regulatory authorities, safeguarding authorities, law enforcement agencies, or other relevant bodies.
- Complaints and Cooperation
Practitioners must cooperate fully and honestly with any complaint, investigation, safeguarding review, disciplinary process, audit, or regulatory enquiry conducted by Mystic Wellness Ltd or any relevant authority.
Knowingly providing false, misleading, incomplete, or dishonest information during an investigation may constitute serious misconduct.
- Legal Compliance
Practitioners must comply with all applicable legislation, regulations, professional standards, insurance requirements, safeguarding obligations, and company policies relevant to their role.
